Purpose and fit
Use this when a working AI-assisted process is approaching sustained use, broader adoption or transfer from a temporary delivery team. Focus on whether the receiving organisation can own it over time. A successful demonstration can conceal unpaid support, exceptional reviewers or dependence on one enthusiastic individual. Make these dependencies explicit before committing further.
Before you start
Use existing operational evidence, owner commitments, support arrangements and available cost/capacity records. Adapt the review to the proposed scope; missing records become explicit readiness gaps, not a requirement to invent a complete dataset.
If your available data uses different fields or terminology, adjust the prompt to match it. State the intended decision, audience and acceptance criteria; ask for essential missing information, and label any non-essential working assumptions. Do not fill factual gaps with invented information.
Required inputs
- Evidence from actual use, including accepted work, failures, review burden and support effort
- The proposed operating scope, expected workload and affected teams
- Named receiving owners, support capacity, recurring costs and source/system dependencies
- Current controls, training materials, change procedures and a practicable fallback
Practical workflow
- Describe the operating commitment: work covered, teams served, service expectations and boundaries. Identify how the proposed scope differs from the conditions under which evidence was collected.
- Review evidence of usefulness and quality alongside full operating effort. Include review, support, maintenance and fallback costs. Separate observed capacity from hoped-for capacity and one-off assistance from funded ongoing work.
- Confirm receiving ownership for process decisions, system changes, source updates, quality review and user support. Name a deputy or continuity arrangement for critical responsibilities. Obtain explicit acceptance from each receiving owner.
- Test operational readiness through a handover walkthrough. Ask the receiving team to handle a changed source, an unavailable reviewer and a service interruption using the documented procedures. Record gaps without relying on the temporary team to fill them silently.
- Assess the proposed expansion by cohort or workload. Check permissions, accessibility, local process differences and specialist obligations. Set conditions for staged transfer, continued limited use, redesign or retirement rather than treating expansion as automatic.
- Record the authorised decision, resources and unresolved conditions. If transferring, agree the effective date, review cadence and escalation route. If stopping, assign continuity, records and user-notification responsibilities through existing approval processes.
Expected output
Expect a draft acceptance record, handover walkthrough plan and decision options for authorised owners. This cannot certify operational readiness, commit budget or authorise broader deployment.
An operational acceptance record and a scale-or-stop decision note:
Responsibility | receiving owner/deputy | required capacity | committed capacity | procedure/evidence | unresolved gap | acceptance/date
Decision note: current scope; proposed scope; observed value and quality; recurring effort/cost; evidence gaps; support and source dependencies; readiness blockers; chosen outcome; authorised resources; transition conditions; decision owner/date; next review.
Possible outcomes are accept into sustained operations, transfer in stages, retain bounded use while resolving gaps, redesign or retire. For every condition, specify an owner, evidence of completion and what happens if it remains unmet. Do not represent an unsigned ownership field as an accepted commitment.
Human checks
The receiving owners confirm that they have authority, time and resources to discharge their responsibilities. Budget owners verify recurring commitments. Domain, security, privacy and other specialists review material changes within their remit. A sponsor accepts residual risks explicitly; delivery-team enthusiasm cannot substitute for operational acceptance. People affected by a transition need approved, practical instructions and a functioning fallback.
Limitations
Readiness is conditional on the stated scope and available evidence. Workload, staffing, costs and system dependencies can change. This record cannot guarantee reliability or satisfy sector-specific obligations by itself. A decision to retain limited use can be appropriate even when individual outputs are good; retirement may also require separate approvals and continuity planning.
Starter prompt
Prepare an operational readiness review for [AI-assisted workflow] moving from [current arrangement] to [proposed ongoing scope]. Use only these approved, sanitised evidence and ownership notes: [notes]. Assess quality, recurring effort, support, source maintenance, continuity and receiving-team capacity.
Produce an acceptance record with responsibility, owner/deputy, required/committed capacity, procedure/evidence, gap and acceptance/date. Create walkthroughs for source changes, reviewer absence and interruption. The decision note needs current/proposed scope, value/quality, recurring effort/cost, evidence gaps, dependencies, blockers, outcome, resources, transition conditions, decision owner/date and next review. Mark unconfirmed ownership, funding and permissions as unresolved. Identify differences between observed conditions and proposed workload. Present supported options without choosing for the sponsor. Do not invent commitments, approve expenditure, authorise expansion or assume the temporary team will provide ongoing support.
Adapt the structure to the information I actually provide. First identify essential missing inputs and ask targeted questions. If a useful partial draft is possible, produce it with explicit unknowns and labelled assumptions. Without receiving-owner acceptance, capacity, cost evidence or fallback details, mark readiness unresolved and propose bounded next steps rather than treating silence as commitment.
Tie each recommendation to supplied evidence and an explicit limitation. Leave unsigned acceptance, unknown capacity and untested handover results unresolved; the accountable human makes the operational decision.

Responsible use
Use relevant data that exists or that you provide, with accuracy and completeness sufficient for the task. Different AI models and versions may produce different results, and responses may vary between runs. You are responsible for checking and validating the output against your own requirements, source information and acceptance criteria before relying on it.
